Privacy Policy

Last updated: 23 October 2026

This Privacy Policy explains how Olzytech Solutions (“Olzytech”, “we”, “us”) handles personal data when you visit our website, contact us or use our website design and development services.

1.Who we are and what this policy covers

Olzytech Solutions is a website design and development studio based in Malaysia. We are the data user responsible for the personal data described in this policy.

This policy applies to personal data we process through this website, through emails, calls and meetings with prospective clients, and in the course of delivering our services. We handle personal data in accordance with the Personal Data Protection Act 2010 of Malaysia (“PDPA”) and other applicable laws.

If you give us personal data about someone else (for example a colleague or a customer of yours), you confirm that you are allowed to do so and that they know how it will be used.

2.Personal data we collect

We collect only what we need. Depending on how you interact with us, this may include:

  • Contact details you submit through our contact form or by email: your name, email address, company name and phone number (if you give it).
  • Project information you choose to share: the service you are interested in, your budget range, timelines and the details in your message, including any files or links you send.
  • Communication records: emails, call and meeting notes, and proposals exchanged with you.
  • Client and billing details if we work together: business name, billing address, invoicing contacts and payment records (we do not store full payment card numbers).
  • Technical data collected automatically when you visit the website: IP address, browser type and version, device and operating system, pages requested, referring page and date and time of the request. This is generated by standard web server and hosting logs.

We do not knowingly collect sensitive personal data (such as health, political or religious information). Please do not include it in your messages.

3.Cookies and similar technologies

This website does not currently use advertising or cross-site tracking cookies. Our hosting provider may use strictly necessary technical measures (for example to deliver pages securely and to prevent abuse).

If we introduce analytics or other optional cookies in future, we will update this policy and, where required, ask for your consent first. You can also control cookies through your browser settings.

4.How we use personal data

We use personal data for the following purposes:

  • Responding to your enquiry, arranging a discovery call and preparing proposals and quotations.
  • Providing, managing and invoicing our design, development, deployment and support services.
  • Communicating with you about your project, including updates, requests for feedback and important notices.
  • Operating, securing and improving this website, and detecting and preventing fraud, spam and abuse.
  • Meeting our legal, accounting, tax and regulatory obligations, and establishing or defending legal claims.

We do not sell your personal data. We will only send you marketing communications if you have asked for them or have agreed to receive them, and you can opt out at any time.

6.Who we share personal data with

We share personal data only where necessary and only with:

  • Service providers who help us run our business, such as website hosting and deployment platforms, email and communication tools, scheduling, project-management and customer-relationship tools, and form-handling services. They may only use the data to provide their services to us.
  • Professional advisers such as accountants, auditors and lawyers, under duties of confidentiality.
  • Government, regulatory or law-enforcement authorities where we are required or permitted by law to disclose it.
  • A successor business, if Olzytech is ever merged with or acquired by another business, in which case we will make sure this policy continues to be honoured.

7.Transfers outside Malaysia

Some of our service providers store or process data on servers located outside Malaysia. Where we transfer personal data abroad, we do so in line with the PDPA and take reasonable steps to make sure it is protected to a standard comparable to Malaysian law, for example through contractual safeguards with the provider.

8.How long we keep personal data

We keep personal data only for as long as needed for the purposes above:

  • Enquiries that do not lead to a project: up to 24 months from our last contact with you, after which we delete or anonymise them.
  • Client project records and correspondence: for the duration of our engagement and a reasonable period afterwards to provide support and handle queries.
  • Invoices and financial records: up to seven years, as required by Malaysian accounting and tax laws.
  • Server and hosting logs: for a short period (typically up to 90 days) unless needed to investigate a security incident.

9.Security

We use reasonable technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure, alteration and destruction. These include encrypted connections (HTTPS), access controls and the principle of least privilege for our team and tools.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a data breach is likely to cause you significant harm, we will notify you and the relevant authorities as required by law.

10.Your rights

Under the PDPA you have the right to:

  • Request access to the personal data we hold about you.
  • Ask us to correct personal data that is inaccurate, incomplete, misleading or out of date.
  • Withdraw your consent to our processing of your personal data.
  • Ask us to limit or stop processing, or to delete personal data we no longer need, where the law allows.

To exercise these rights, email us at support@olzytech.com. We may need to verify your identity first. We aim to respond to access requests within 21 days, and we may charge a reasonable fee where the PDPA permits it. If we cannot meet a request, we will tell you why.

12.Children

Our website and services are intended for businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has given us personal data, contact us and we will delete it.

13.Changes to this policy

We may update this policy from time to time to reflect changes in our practices or the law. The “Last updated” date at the top of this page shows when it was last revised. If we make a material change, we will take reasonable steps to let you know, for example by a notice on this website.
